Quick Start Guide: Retouchers

A quick-start guide for retouchers receiving feedback and delivering revisions and finals

This is a suggested workflow for retouchers who are accessing a project in which images have already been added and are ready for download and retouching. It includes steps for inviting new people to your project, as well as uploading new rounds for revision and finals for delivery.

1. Access the Project

There are two ways you can be invited to a project: via email invite or via share link. Both are detailed below.

  • Email invite: Click the link in the email to create an account and log in. Following account creation, you will be dropped inside the project.

  • Share link: Enter your name and email when prompted (this identifies you when making or replying to comments).

Share Link: enter your credentials to collaborate on a project without signing up for an account.

2. Inviting Others to Your Project

From the project grid view:

  • Select the blue "Share Project" button at the upper right of the screen

  • Share two ways:

    • Invite via email (invitee will receive an invite to the project via email, and if they don't already have an account, they will be prompted to create one.

    • Invite via Link (allows access to anyone with the link without requiring them to create an account)

3. Review Comments and Markups

  • On project and image thumbnails, look for a blue comment bubble on the image thumbnail. This indicates feedback is present. An @ symbol means that someone has left a comment specifically for your attention.

  • Double-click the thumbnail to enter Markup View and read the comments.

  • Once you’ve addressed a comment, click the checkmark icon in the upper-right corner of the comment box to resolve it.

4. Download Images for Editing

If full-resolution files were provided within verybusy, you can download them in two ways:

Option 1: From the Project Grid

  • Download the entire project: Click the three-dot menu at the top right of the screen

  • Select "Project Download"

  • Download selected images:

    1. Hold Cmd (Mac) or Ctrl (Windows) and click on the thumbnails you want.

    2. Right-click and choose Download.

Option 2: From Markup View

  • Click into any image to open Markup View.

  • Use the Download button at the top of the screen.

Tip:
To download full-resolution files, select Original from the dropdown menu that appears.

5. Upload New Rounds

After completing your edits, return to the project and drag and drop your files into verybusy. You can upload layered files if requested (e.g., your art director or designer needs a mask inside the file).

If file names match what's in verybusy:

  • The platform will automatically stack the new files on top of the originals.

  • The round counter will increase by +1.

If file names were changed (e.g., renamed with _v2 or _r2):

Notification behavior:

  • If the reviewer has an account on verybusy, they’ll receive an automatic notification when new rounds are uploaded.

  • If they don’t have an account (i.e., they accessed the project via a public link), it’s best to follow up directly to let them know the files are ready for review.

6. Confirm Everything's Ready

  • Make sure all comments have been addressed and marked as resolved.

  • Apply any status labels your stakeholders are using to indicate an image is ready for review.

7. Deliver Finals

  • Watch for approved assets — the thumbnail will turn green when marked as approved.

  • Create a folder labeled “FINALS” or “DELIVERABLES” within the project.

  • Inside that folder, create subfolders for each type of deliverable (e.g., Web, Print, Alt Crops), depending on what your client needs.
