Groups let you save time by reusing common setups across projects instead of rebuilding them every time: Collaborator Groups let you invite the same people with one click, and Label Groups let you apply the same statuses, approval stages, or workflow steps across every project.
🔒 Available on Studio Plans only.
Who can create and use groups
Workspace Owners and Workspace Managers in a Studio Plan only can create new label and collaborator groups.
Project Owners, Manager and Editors will also be able to use existing groups in projects.
Collaborator Groups
Creating Collaborator Groups
1. Navigate to your workspace in Account Settings and click the "Projects" tab.
2. Scroll to the "Collaborator Groups" section.
3. Create new groups of collaborators you frequently invite to projects, such as a client's creative team or an internal team of yours. Be sure to click the "Create" button when finished.
Using Collaborator Groups
From the invite modal, click "Add Group".
2. Select the collaborator group(s) you'd like to invite to the project, then click "Add."
3. Once the emails are added, click "Invite."
Label Groups
Label Groups let you save a set of labels, like statuses or approval stages, as a template you can load into any new project in the same workspace, instead of recreating them by hand each time.
Creating a Label Group
Go to your avatar or initials at the top left of the interface, then click Settings.
Select the workspace you want to add the label group to (left-hand panel, below your profile).
Select the Projects tab.
Scroll down to the Label Groups section and add your label group.
Using a Label Group in a Project
Open the project (must be in the same workspace as the label group).
Click the label that's applied to an asset, or click "Add Label."
Select "Add Group" to load the label group into the project.
When to Use Each
Use Collaborator Groups when: the same team, client, or reviewer group needs to join another project. Instead of re-inviting each person one by one every time you start something new with them, invite the whole group in a single click, and keep who has access consistent across every project you run with them.
Use Label Groups when: you want to standardize and scale statuses, approval stages, or other workflow steps across projects. Rather than recreating the same labels manually in every new project, save them once as a group and load the full set wherever you need it, so every project follows the same process from day one.
Use both together when: spinning up a new project for a recurring client or workflow. Load their Collaborator Group so the right people are in from the start, and apply your standard Label Group so the project's stages are already set up, no manual setup required either way.
