No-Account Collaboration in Projects

To streamline collaboration and feedback on your projects, verybusy.io has launched a no-account collaboration feature. This option allows project owners to quickly share their work with clients and stakeholders through a public share link, bypassing the need for account creation.


What is No-Account Collaboration?

This feature, accessible through the "Share Project" modal, enables you to generate a public share link. Clients and stakeholders can use this link to collaborate within your project — leaving comments & markups, adding labels to images, and approving assets—without needing a full verybusy.io account.

Share Links Make Project Public

  • The same link applies project level. So when the links are enabled, the project becomes accessible to anyone with the link. Both the project owners and managers will be able to share this.

  • Turning off the public link makes the project private again for everyone. Only previously invited users will retain access.

Who Can Use This Feature?

Only project owners and/or managers (users with workspace seats) can enable public sharing by toggling the specific link by role on.

Why Implement This Feature?

Our goal is to tailor the verybusy.io experience to the specific needs of our users. No-account collaboration minimizes barriers, enabling quicker and more effective feedback. Also, their interface is cleaner and more intuitive, to make their onboarding to the platform easy and simple. Just drive action where they are needed.

When to Use No-Account Collaboration?

Use this feature when:

  1. It's permissible to generate a public link. Anyone with the link will be able to access.

  2. Quick client access is needed without the hassle of account registration.

What Information Is Required from Users?

Upon first entering the project, users are asked to provide their full name and email address to to maintain transparency about who is providing feedback.

  • This information is required only once. Then as long as they use the same device/browser and it is saved in their cache, they can click the project link again and access directly without re-entering their details.

  • By default, they do not receive project update notifications.


What Are the Limitations?

Users accessing projects via a public link cannot:

  • View a dashboard of all their projects (projects must be accessed through the same project share link each time).

  • Customize notification settings.

  • Navigation panel

Optional: Creating a Free Account

After entering via the public link, users have the option to create a free account.
Benefits of creating an account include:

  • Access to the Project Dashboard (no need to store the link).

  • Notifications for project updates, comments, and approvals.

  • Ability to navigate between multiple projects easily.


Security

Like any public share link, there's a risk that unauthorized users might access it. Our share links are designed to be secure and virtually unguessable. However, the safety of your project depends significantly on how these links are distributed. Always send project share links directly to specific, intended recipients and avoid making them publicly accessible.

For heightened security, opt to invite your clients and other collaborators via the "Invite via email" option. This method requires collaborators to register or log in to a verified verybusy.io account, ensuring secure and authorized access.

How to Disable a Project Share Link

Just toggle the link off. This setting immediately disables the share link, blocking access to anyone who hasn't already used it to enter the project.

If you disable the public link, new users cannot join using the old link. However, people who already accessed the project will retain their access until you:

  1. Disable the link, and

  2. Remove them from the People tab.

Both steps are required to fully revoke access.
